This policy describes how this website collects, uses, and protects information from visitors. It is separate from, and does not replace, our HIPAA Notice of Privacy Practices, which governs protected health information for clients of the practice.

Scope of This Policy

This Website Privacy Policy applies to information collected through www.bitbybitcounseling.com (the "Site"), including when you browse the Site, submit a contact or consultation-request form, or use a scheduling widget linked from the Site. It does not apply to protected health information created once you become a client of Bit by Bit Counseling, LLC; that information is governed by our HIPAA Notice of Privacy Practices, available separately on the Site and in our office.

Information We Collect

Information You Provide Directly

If you use a contact form, request a consultation, or sign up for any mailing list on the Site, we collect the information you submit — typically your name, email address, phone number, and any message you include.

Information Collected Automatically

Like most websites, the Site may automatically collect limited technical information when you visit, such as your IP address, browser type, device type, pages viewed, and referring website, typically through cookies or similar technologies used by our website host or analytics provider.

Scheduling and Intake Tools

If you click through to book a consultation or begin intake paperwork, you will be directed to a secure third-party platform (our practice management / EHR system) that has its own privacy practices and, where applicable, its own HIPAA-compliant safeguards. Information you enter there is governed by that platform's privacy policy in addition to this one.

How We Use Information

  • To respond to inquiries and consultation requests

  • To schedule appointments and manage intake

  • To maintain and improve the functioning of the Site

  • To understand, in aggregate, how visitors use the Site (e.g., which pages are most visited)

We do not use information submitted through the Site for advertising, and we do not sell visitor information to third parties.

Cookies and Analytics

This Site is hosted on Squarespace, which may set cookies necessary for the Site to function (for example, to remember items in a form you're filling out or to support basic security). We also use Google Analytics to understand aggregate visitor traffic, such as which pages are viewed and how visitors generally navigate the Site. Google Analytics uses cookies to collect this information; the data we receive is aggregate and is not used by us to identify individual visitors.

When you visit the Site, a cookie consent banner lets you accept or decline non-essential cookies, including analytics cookies, before they are set. You can change your preference at any time by clearing your browser's cookies for this Site and revisiting, which will prompt the banner again. You can also opt out of Google Analytics tracking across all websites by installing the Google Analytics Opt-out Browser Add-on, available at https://tools.google.com/dlpage/gaoptout. We do not currently use cookies or analytics data for targeted advertising, and we do not share Google Analytics data with advertisers.

Third-Party Service Providers

This Site is hosted on Squarespace and uses Google Analytics for aggregate traffic analysis. We also rely on a practice-management / electronic health record system and, where applicable, a payment processor to operate our practice. These vendors may process information on our behalf as necessary to provide their services, under their own privacy and security terms (Squarespace's and Google's privacy policies govern the technical data those platforms collect). We select vendors that represent they maintain appropriate safeguards for the type of information involved, and where a vendor processes protected health information on our behalf, we maintain a Business Associate Agreement with them consistent with HIPAA.

Children's Privacy

This Site is intended for adults seeking information about our practice and is not directed to children. We do not knowingly collect information through the Site from children under 13.

Your Choices

  • You may decline to submit information through any form on the Site; doing so may limit our ability to respond to your inquiry.

  • You may unsubscribe from any mailing list using the link provided in our communications, if applicable.

  • You may contact us directly to ask what information we hold about you as a website visitor (as distinct from your clinical record, which is addressed in our Notice of Privacy Practices).

Data Security

We take reasonable steps to protect information submitted through the Site, including using a reputable hosting provider and limiting access to submitted information to those who need it to respond to you. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. The updated version will be posted on the Site with a revised effective date.
